Court & Pro Scheduling

Clear, color-coded displays present real-time schedules to staff.

Quick, intuitive and easy-to-use screens. Even a multiple-court, season-long contract time can be entered with just a couple of clicks.

Scrolling 'inner-window' neatly handles an unlimited number of courts and time-slots.

Multi-level privileges scheme means that each staff member can be given just the level of access needed for his/her role.

Handy 'daily notes' feature to centrally record notes and communicate timely information to staff, e.g. "John to turn on lights at 7am", "Mrs. Jones needs racquet strung by 11am".

Print-outs of daily courts schedules and exports of schedule data for use in management reporting, pro time-sheets, usage tracking, etc..

Customizable data fields allow for recording of any desired information related to bookings - e.g. 'Court Usage' (clinic, lesson, etc.), '# Guests', 'Payment Status', etc.. All fields can be used to color-code schedule displays.

Pros can maintain their own calendars of availability. Never again book a pro for when she has a dentist's appointment!

Online Bookings

This feature makes your unreserved court-time available for booking online by members.

An extremely flexible 'rule-based' system allows for precise control over what bookings are permitted (who/what/when) and can enforce any restrictions required to reflect club policies.

Control exactly how much (or how little) information about court activities is displayed to members.

Multiple options to control the allocation of bookings to available courts:

  • Players can be allowed to choose a specific court,
  • Bookings can be allocated to courts according to a pre-defined court preference sequence
  • A system algorithm will automatically allocate courts so as to minimize undesirable 'dead-time' between bookings.

When club pros maintain their availability schedule within the system, players can then view this and book a lesson with their favorite pro!

Flexible options to prompt players to provide information at time of booking, e.g. "Names of any non-member players".

Event Registrations

Track sign-ups for clinics, mixers, fitness classes, etc..

Events can be linked to court reservations and will show on court schedules (as clickable hyperlinks).

Send emails to all event registrants to provide updated information, reminders, etc..

Options to allow players to register online for events. Club controls when sign-ups open (eg. 7 days before) and close (e.g. 12 hours before) and cancellation policies, etc.

Online player registrations can optionally be required to make  payments at time of booking.

'Waiting List' feature automatically notifies players if places for an over-subscribed event become available.

'Club News' Web Pages

This 'website-within-a-website' allows clubs to communicate with players by posting club information, news, photos, tournament results, promotions, etc..

Multiple pages of information can be maintained, to handle an unlimited amount of content.

Content can be uploaded to our site, or can be automatically 'mirrored' from your existing website, blog, FaceBook page, etc..

Different content can be displayed to registered users (who login with a username/password) vs. unregistered users who enter using the 'Guest' option (if enabled).

Online Payments

The option for users to pay online at time of booking can be:

  • Completely disabled (for where no payments are due, or payments will be made at check-in)
  • Made optional (players will have the option to pay online, but do not need to)
  • Enforced - either for all bookings, or selectively depending on specifics of booking and/or player criteria.

All payment transactions are handled securely through PayPal (using a player's credit card or PayPal account). Players can rest assured knowing that their card information is not available to their club or any other third party.

Flexible pricing structures (with prices varying for different days of the week, times of day, membership type, etc.) can be accommodated.

Players can make periodic advance payments (online or at the club) to maintain a club 'credit balance' which can then be used to pay for subsequent online bookings. This feature can be used either as an alternative to online payments, or in conjunction with them.

Membership List Management

Our system has a unique ability to manage your schedule data in conjunction with your membership data (which can be managed either externally in an existing system, or within our system). This provides synergies such as :

  • Easy selection of players' name from drop-down lists,
  • Tracking of member activity by member ID #,
  • Enforcement of booking rules specific to different membership-types, etc.
  • Different payment/pricing rules specific to different membership-types, etc.
  • Quick access to all member information (contact details etc.) from within the scheduler (staff use only).

There are two modes of working with your membership data:
  1. For clubs that already maintain a computerized membership list, we provide a very simple process for you to upload this data on a regular basis. We can handle just about any data layout in this file, which can be in either .xls or .csv format - (these formats are widely used from most systems for 'data export' functions).
  2. Smaller clubs can use our built-in membership list features to maintain this data directly within our system. This provides for defining an unlimited number of custom data-fields. Clubs using this option can even have their members pay for their subscriptions online.
