Implementation

Setup

  • There is no setup or software installation required on your club PCs. You don’t have to worry about domain names, hosting, etc., etc..  All you need is an internet connection!
  • If you already have a club website it is a good idea to add a link from that site to your new scheduling site but there are no other changes required. This way the scheduling will appear as an integral part of your pre-existing site. If you don’t have a club web-site then members can simply navigate directly to the new scheduling site (which can have its own web-address such as ‘www.HartfordTennisBookings.com’).
  • You do not need an additional computer at the front-desk to use the scheduler. An ideal set-up is to add a second monitor to your PC - you can then keep the schedule visible on this second monitor all the time.

Migration

  • We have developed a seamless migration plan that will help you transition to using the web-based scheduler for your club.  Key points to note about this process are:
    • Each phase can be for as long or as short a time as you wish – you advance at your own pace,
    • You never have to make a decision to ‘jump’ to the new system. Each phase is an incremental advance from the previous one – completely under your control.
  1. We provide you with a ‘trial’ web-site for you to evaluate. This site will incorporate your club's court-configurations, etc., but will not necessarily have all of your specific detailed customizations.
  2. We discuss with you in detail how you want your site to work (regarding e.g. rules and policies for player bookings), capture this information in our questionnaire, and incorporate this into your site.
  3. You use the new site in-house for a trial period. Of course during this phase you can continue to also use your previous scheduling system(s) in parallel if you wish. This phase can be for as long as it takes you to get comfortable with using the system, and to refine any implemented customizations. During this phase you can also create ‘test’ user-accounts, and then use these to make trial player-bookings, so that you will see how this works for the players, and how their bookings are immediately reflected in the staff’ system.
  4. Create player accounts for a few ‘trial’ players, and receive feedback from these players.
  5. Continue making the system more widely available to your players, at a pace that you control. We can even help you by automating the process of creating user-accounts from your existing member-list, and then sending out notification emails.
